PenFed is hiring an Accountant II, Global Fixed Assets at our San Antonio, Texas location. The primary purpose of this job position is to perform various (GFA) Global Fixed Assets department activities related to invoice processing and approvals; development, maintenance and processing of tenant database(s); research and gathering and reporting required data for management; gathering project data and reconciliation assistance; preparation and maintenance of budget team procedures; service request system maintenance, support, reporting and training; and real estate and personal property tax payment tracking, problem solving and resolution and payment processing. Budget Management Maintence (including both operations and projects handled by the GFA organization) Assistance with annual budgets and quarterly reforecasts; research, spreadsheets, supporting documentation, reports, cost analysis of monthly actual reports, communications with Finance, Accounting and management. Track spending throughout the year and providing data in various forms. Initial budget preparation for PenFed Plaza base building expenses.. Track data in support of budgets and GFA facility expense reports. Invoice Management and Administration Proficiency with Accounting’s A/P workflow People Soft system required for handling invoices. Review and analyze invoices to address any discrepancies to responsible personnel, i.e. utilities and fluctuation of costs. Assist Engineers and Facilities Coordinators on auditing bills and invoices to ensure compliance with terms and provisions of contracts and proposals. Approve all GFA related invoices, check requests and expense reports including those hitting non-GFA cost centers such as branches; resolving invoices issues through thorough knowledge of cost centers, GLs and details of operational and project invoices. Ccommunications with the accounts payable department to expedite invoices or check processing; utilization of database to retrieve important information on past invoices or to resolve vendor questions about invoice status; submittal of invoices, clarifying for Accounting specific information related to processing the invoice. Real Estate and Personal Property Tax Payment Administration Ensure payment of real estate and personal property tax. Assist in resolving any issues related to real estate and personal property taxes. Assist in maintaining and updating the tax tracking spreadsheet. PenFed Plaza Tenant Database Import invoices from A/P Workflow for the PenFed Credit Union Plaza base building expenses. Review invoices to ensure accuracy and proper categorization. Enhance and maintain the Tenant Database and provide all the necessary invoicing, tracking and reports for managing the PenFed Plaza base building tenant processes. Service Request System (currently SalesForce) Prepare reports of service requests monthly. Troubleshoot any SalesForce issues by contacting IT. Budget Team Procedures Create, maintain and update procedures and processes. Departmental Projects Departmental projects Assist as required including activity reporting, special studies and analyses and providing recommendations/suggestions as needed. Qualifications Equivalent combination of education and experience is considered. Bachelor’s Degree in Business, Finance, Accounting or a related field is required and/or accounting/General Accounting certifications or direct bank reconciliation experience in an automated scenario. Minimum of two (2) years’ of experience in accounting and bank reconciliation activities is required. Proficiency in Excel and Access required. People Soft/A/P Workflow familiarity. Strong written and verbal communication skills, proficiency in Word. Computer skills/research/database/scanning/print formatting for important documents frequently produced. Work Environment While performing the duties of this job, the employee is regularly exposed to an indoor office setting with moderate noise. Most roles require working in an office setting with moderate noise and the ability to lift 25 pounds. Travel Limited travel to various worksites may be required.
